Ray Baum’s Act & Kari’s Law compliance addressed with IT process for enhanced emergency 911 services

Situation
A University approached AArete for support designing an IT process for enhanced emergency 911 services. The University had completed minimal planning to become compliant with current legislation (Ray Baum’s Act & Kari’s Law) requiring, among other stipulations, that all 911 calls regardless of technological platform must be linked to a dispatchable location meeting a minimum level of specificity.
The University was at risk of being out of compliance and needed to take immediate action to ensure a plan was in place to create an inventory, update, and test up to 10,000 network devices.
Approach
AArete developed and hosted a process design workshop to collaborate with multiple stakeholder teams (technology, safety, etc.) to gather key inputs via group and small group breakout sessions.
AArete constructed a process map of all critical activities and identified gaps that needed remediation in order to reach compliance. AArete identified the responsible parties for each discrete action outlined in the process map and tracked in a corresponding RACI chart. AArete created documentation for each new step and decision point in the process.
Results
AArete’s final enhanced emergency 911 services process roadmap guided the actions of the stakeholder groups on the E911 compliance project, and the accompanying RACI chart allowed for accountability and tracking of activities by the Executive team.
The final process map provided allowed the University to create an internal project plan and timeline for completing the compliance requirements to ensure a safe and compliant campus, while enabling the University to avoid any potential fines or financial impacts.
